CEC 2003 Paper Submission

Thank you for your interest in submitting a paper to CEC 2003. Please note that paper submission to the conference has now closed. However paper submission may still be available to some of the workshops. Please do not submit Workshop papers here. Workshop formatting requirements are specified by the workshop chairs; special session  formats are the same as for the normal submission mechanisms (see below).

Submission

Please note that papers can only  be submitted through the web site. If you get error messages from the web site, please try to correct them yourself (we will try to provide suggestions for common error messages here). If you are unable to correct them, please send us a copy of the error message and we will try to suggest corrections (cec@cs.adfa.edu.au). Please do not send us your pdf file as an attachment. If you cannot submit the file through the web site, neither can we.

Page Size

We have discovered an error in the page size given in the earlier formatting guidelines and in the latex style file. The bottom margin should be 25mm, and the column height 248mm. These have been corrected in the files above. The Word template document was not affected by this, and had the correct dimensions.

Printer Problems

Some printers may scale and/or position the page differently from what is described in the formatting guidelines, even if it is produced with the templates. If this occurs, you should rely on the templates, not what you see on the printer. If you suspect this problem, the best bet is to print the 'sample pdf output file' (cec032e.pdf) above. Check that your own paper fits the same profile (within an error of 3mm or so) on your printer. If it does, we should be able to print the paper OK.

Headers and Footers

Please make sure not to include headers and footers on your paper. Especially, please make sure it is not page numbered. We will insert the correct headers and footers as part of the printing process.

Font Problems

A number of authors have reported difficulties with fonts, receiving the following message:
Your document is missing some of the fonts and produces errors when
opened in a standard English-language Acrobat Reader. A common source
of problems are figures incorrectly imported from other programs.
Please use only standard fonts in the document or embed all the fonts.
The error will then list a series of fonts, for example SimSun in Chinese systems. If this occurs, please make sure that you either include all fonts in your creation of the pdf file, or ensure that your paper does not include any text from non-included fonts (for example, select all text in your paper and set the font to Times). Make sure to do the same for any imported components. If you use Word's "insert symbol" command, make sure to use the "symbol" font.

Two-column Tables and Figures

The method of handling two-column figures and tables in the original LaTeX sample files was unreliable. Revised versions of the sample documents, showing how to handle two-column objects, are now available from this page.

Formatting for A4


Please note that the required paper format is A4-sized pdf. For papers prepared with MSWord, this doesn't seem to cause any problems. However if you are using LaTeX to create the file, you need to be aware that LaTeX itself does not set the page size (ie the dvi file format does not contain any page size information). The page size is set by the translators you use to create the pdf. So you must provide the correct arguments to the translators to ensure that they create A4.

For example, using dvips and ps2pdf the appropriate command lines would be:
    dvips -a4 cec032e.dvi -o cec032e.ps
    ps2pdf -sPAPERSIZE=a4 cec032e.ps cec032e.pdf

For dvipdfm, you would use
    dvipdfm -p a4 filename.dvi
PDFLaTeX
pdflatex seems to cause some authors particular problems. It seems there can be a number of causes, partly relating to the particular setup of the pdflatex installation. You need to ensure that the  pdftex.cfg file contains the lines
    page_width 210truemm
    page_height 297truemm

It also seems that the 'geometry' package can help:

The parameters in the  latex file would be
    \paperwidth=210mm
    \paperheight=297mm
    \pdfpagewidth=\paperwidth
    \pdfpageheight=\paperheight

But it may be easier to switch from pdflatex to latex + dvipdfm (which are usually present in the same installation).

Use of Colour

The proceedings will be printed in black and white only, due to the very high cost of colour printing. However all delegates will receive also a CD-ROM of the proceedings, so it is acceptable to use colour in the pdf file. However it is your responsibility to ensure that the paper will still be readable in black and white, as the paper proceedings will form the primary record of the conference in libraries etc. Please note also that the papers will be reviewed in black and white form.
